Om rollen

Som Congress Planner (projektkoordinator), är din huvudsakliga uppgift att stötta våra Congress Managers (Projektledare) i det dagliga arbetet och bidra till att våra kongresser genomförs på ett professionellt och framgångsrikt sätt.

Rollen innefattar ett brett administrativt ansvar, inklusive bokningar, koordinering och uppföljning av deadlines. Du hanterar löpande kommunikation via e-post och telefon samt ansvarar för fakturahantering i nära samarbete med ekonomiavdelningen. Rollen kräver god organisationsförmåga, noggrannhet och ett proaktivt arbetssätt.

 

Dina huvudsakliga ansvarsområden

  • Koordinera och ansvara för den löpande administrationen av kongressprojekt samt säkerställa att viktiga deadlines och projektmål uppnås.
  • Vara en av de främsta kontaktpersonerna för deltagare och hantera registreringar, hotellbokningar, betalningar, ändringar och övriga frågor.
  • Stötta planering och genomförande av kongresser, inklusive koordinering av kongresslokaler, talarhantering, administration av sponsorer och utställare samt abstracthantering.
  • Hantera kongressernas kommunikationskanaler, inklusive gemensamma e-postinkorgar och telefonförfrågningar, med fokus på hög service och professionellt bemötande.
  • Stötta den ekonomiska administrationen genom fakturering, uppföljning av betalningar, rapportering och avstämningar.
  • Koordinera resor, boende och registreringar för inbjudna talare och arrangörer.
  • Bygga och underhålla starka relationer med deltagare, kunder, leverantörer, anläggningar och andra viktiga intressenter samt vid behov ge stöd på plats under kongresser och event.
  • Säkerställa att arbetet följer företagets rutiner, processer och branschstandarder samt upprätthålla god kunskap om relevanta system och verktyg inom event- och kongresshantering.

 

Vem är du?

Vi söker dig som är strukturerad, lösningsorienterad och som trivs i en roll där du får kombinera administration med kundkontakt och projektstöd.

Vi tror att du har:

  • Minst två års arbetslivserfarenhet från en administrativ roll inom Meetings & Events-branschen eller motsvarande verksamhet.
  • Relevant utbildning inom ett passande område eller motsvarande arbetslivserfarenhet.
  • Mycket god förmåga att kommunicera professionellt, både i kunddialoger och internt, såväl skriftligt som muntligt.
  • Starka organisatoriska färdigheter med hög noggrannhet och förmåga att hantera flera arbetsuppgifter parallellt, även i ett högt arbetstempo.
  • Mycket goda kunskaper i Microsoft Office-paketet (Word, Excel, PowerPoint) samt känner dig trygg i att arbeta i olika digitala system och verktyg.
  • Förmåga och flexibilitet att arbeta varierande arbetstider i samband med kongresser
  • Erfarenhet av att arbeta i relevanta system och verktyg, Trippus, Billecta, Invajo och Qondor är meriterande
  • Flytande kunskaper i svenska och engelska, både i tal och skrift.
  • Kunskaper inom ekonomiadministration och finansiell rapportering är meriterande.

The job market, especially within tech and global companies, has developed its own dialect. Not understanding these acronyms can make you lose valuable opportunities or poorly negotiate your contract. To end this problem, we created the Definitive Glossary for the Remote Professional.

🏢 Work Models & Routine

Async (Asynchronous Work)
A communication model where responses don't need to be immediate. Instead of back-to-back meetings, the team relies on well-structured documents, threads, and messages. It's the gold standard for global companies spanning multiple time zones.
Sync (Synchronous Work)
The opposite of Async. It requires the team to be online and available at the same time for meetings, live chats, and real-time collaboration.
Daily / Stand-up
A quick daily meeting (usually 15 minutes) common in Agile (Scrum) methodologies. The team answers three questions: What did I do yesterday? What will I do today? Are there any blockers?
All-Hands / Town Hall
A company-wide meeting involving all employees. Usually led by the founders (C-Levels) to present results, new goals, and answer team questions.
1:1 (One-on-One)

💰 Contracts, Benefits & Compensation

PTO (Paid Time Off)
Instead of strict, categorized leave policies, modern US companies usually offer a flexible pool of days (e.g., 20 days of PTO, or even "Unlimited PTO") that you can use for vacations, sick days, or personal matters, while receiving your regular compensation.
Equity / Stock Options
Company ownership. The startup offers you the right to buy shares at a heavily discounted strike price in the future. If the company grows, goes public, or is acquired, these shares can be highly lucrative.
Vesting (Vesting Schedule)
